The "Note" field is the large text box at the bottom of the Dynodex entry screen. In it, you can type up to 5K (5,000 characters) of notes per entry. (5,000 characters is approximately two full pages of text.) You can scroll down to view notes that extend beyond the border of the "Note" field. <Return> gives you a line break in the "Note" field, so you must press Tab or the down arrow key to move out of the "Note" field.
When you print your file, you can set Dynodex to print all your notes, or you can restrict the printing to a maximum number of lines. This choice is made in "Print Options" (Cmd-8) under the Layouts menu. Choose either "Variable" or "Limit to xx Lines" in the "Set Note Printing Length" section of the dialog. These changes affect only the current layout. Be sure to click "OK" to enter your setting.
Suggestions for using the Note field:
• As a Lead-tracking System: The "Note" field makes Dynodex an excellent lead tracking system. You can enter your colleagues' initials plus a colon and then type a note about the followup they need to make. You can enter a deadline date for followup (we recommend using the "mm/yy" format) and even specific words to search on, like "call back", "send evaluation copy", etc. Once this information is entered, your colleagues can select all records with with their initials in the note field and create a project list for client followup. Or they can select on the deadline date and create a calendar of followup deadlines. Finally, they can select on "call back" and create a list of followup phone calls they must make. You can devise your own best system, and the "Note" field will store all your important information.
• Date Stamping - Turn on "Date Stamp Note Field" in your "Preferences" so that when you choose "Date Stamp" (Cmd-D), today's date appears at the beginning of the Note field followed by a space. You are then ready to take notes for any entry. (See "Date Stamp".)
• Though not recommended as a standard practice, you can even paste an entire letter you've written to someone into the Note field for that person.
• Information in the Note field may be confidential, so you may choose to turn Note printing off for a particular layout under "Field Setup" (Cmd-6) under the Layouts menu.
Important: The Undo feature is not enabled for the Note field, so any changes you make will not be reversible unless you close the file without saving or unless you choose "Revert to Saved" from the File menu.
